What Information We Collect

Friends Sign-Up

When you sign up as a Be There Local Friend, we collect your name, email address, city, and event type preferences. We use this solely to send you notifications about events in your area that match your interests.

Event Submissions

When an organization submits an event, we collect the organization name, contact email, event title, description, date, time, location (including street address), website, and event category. We use this to review, approve, and display events on our public calendar.

Sponsor and Member Registration

When a business registers as a sponsor or member, we collect the organization name, contact name and email, business address and website, and membership type. We use this to manage your account and display your listing.

Contact Form

When you use our Contact Us form, we collect your name, email address, and message, used only to respond to your inquiry.

Automatically Collected Information

We may automatically collect your IP address and browser type (for security and spam detection) and pages visited (for site analytics via Jetpack). We do not use this to identify individual visitors.

We do not sell, rent, or trade your personal information to any third party. We do not use your data for advertising.

Google Maps and Geocoding

We use Google Maps Platform to display event and sponsor locations and to convert submitted addresses into map coordinates. Addresses submitted through our forms are sent to Google’s geocoding service. Google’s data use is governed by the Google Privacy Policy.

Payments

Sponsorship payments are processed through PayPal and Stripe. We do not store your credit card or bank account information on our servers. All payment transactions are handled securely by PayPal or Stripe. See their privacy policies: PayPal | Stripe.

Email Communications

We send confirmation emails when you submit a form, approval notifications when your event or account is approved, event notifications to Friends subscribers whose location and interests match a newly approved event, and membership communications to sponsors and members. All email is sent from hello@be-there-local.com.

To stop receiving event notifications, reply to any notification email requesting removal or email us at hello@be-there-local.com. We will remove you promptly.

Cookies

We use cookies for login sessions (expire when you log out), security verification, and site analytics via Jetpack (which do not identify you personally). We do not use advertising cookies or cross-site tracking.

How Long We Keep Your Data

Friends sign-up data: retained while you are an active subscriber; deleted on request. Event submissions: retained while the event is active; older entries may be archived. Sponsor and member accounts: retained while active; deleted upon closure or request. Contact form submissions: retained up to 12 months, then deleted.

Your Rights

You have the right to access, correct, delete, and export your personal information, and to withdraw consent (e.g., unsubscribe from notifications) at any time.

California residents (CCPA): You have the right to know what personal information we hold, to request deletion, and to opt out of the sale of your personal information — we do not sell personal information. You will not be discriminated against for exercising these rights.

To exercise any of these rights, email us at hello@be-there-local.com. We will respond within 30 days.

Children’s Privacy

Our website is intended for adults and organizations. We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information to us, contact us at hello@be-there-local.com and we will delete it promptly.

Data Security

We use HTTPS encryption for all data in transit. Passwords are stored in encrypted form. Payment data is handled entirely by PayPal and Stripe and is never stored on our servers. No transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Breach Notification

In the event of a data breach likely to result in risk to your rights and freedoms, we will notify affected individuals and relevant authorities as required by applicable law, without undue delay.
